Job Description:
Facility Management & General services
• Oversee the day-to-day administrative operations of the Head Office and Regional Offices, maintaining a high standard of workplace efficiency and hygiene.
• Supervise building maintenance, janitorial services, renovations, repair work, and upkeep of office furniture, fixtures, and utilities (electricity, water, backup generators, HVAC).
• Oversee tenancy agreements, lease contracts, and timely renewals for office premises and residential/guest accommodation facilities.
2. Fleet & Travel Management
• Oversee the Bank’s vehicle fleet, including maintenance schedules, fuel card distribution/reconciliation, vehicle tracking, insurance renewals, and driver administration.
• Manage end-to-end logistics for official business travel, board meetings, corporate events, and guest hospitality (including flight ticketing, hotel reservations, and transport arrangements).
3. Inventory, Fixed Assets & Store Management
• Maintain the Bank’s Fixed Asset Register (FAR) in coordination with Finance, ensuring proper tagging, tracking, periodic physical verification, and timely asset insurance coverage.
• Supervise the central store inventory, overseeing the receiving, inspection (Goods Inspection Receipt Note - GIRN), stock monitoring, and disbursement of stationery, pantry supplies, and regular consumables.
4. Vendor Management & Procurement Compliance
• Identify, evaluate, onboard, and manage third-party vendors, janitorial contractors, security agencies, and maintenance service providers.
• Ensure all administrative procurement activities strictly adhere to the Bank’s procurement policy, competitive bidding guidelines, and relevant regulatory mandates.
• Monitor Service Level Agreements (SLAs) and key performance indicators (KPIs) for third-party service providers to ensure high-quality service delivery.
5. Budgeting & Financial Controls
• Formulate, execute, and monitor the annual operational administration budget.
• Identify cost-optimization and cost-saving opportunities without compromising operational excellence or service quality.
• Verify, process, and reconcile routine administrative payments, utility bills, vendor invoices, fuel card statements, and monthly departmental expenses in a timely manner.
6. Policy Development & Systems Utilization
• Formulate, review, and implement robust administrative policies, standard operating procedures (SOPs), and operational manuals to improve workplace efficiency.
• Utilize Enterprise Resource Planning (ERP) software effectively for administrative modules including procurement, asset management, inventory control, and requisition tracking.
• Act as the key focal point for administrative audit requirements (internal, external, and regulatory) and ensure prompt resolution of audit observations.
• Execute any additional tasks or special projects assigned by line management.

Qualification:
Minimum of a Bachelor’s degree in finance, Business Administration , Public Administration, Supply Chain Management or other Business-related fields from a leading local or international university recognized by the Higher Education Commission of Pakistan(H.E.C.). DAE will be an added advantage.
