Job Description

Job Summary The Operations Lead is responsible for overseeing day-to-day administrative, facility, asset, and workplace support operations to ensure smooth, safe, and efficient organizational functioning. The role leads facility operations, asset management, vendor coordination, workplace logistics, records management, and implementation of administrative policies while ensuring compliance with applicable procurement and HSE requirements. Key Responsibilities • Manage and supervise the Authority's day-to-day administrative and operational affairs. • Provide administrative and logistical support to the senior management. • Coordinate official travel arrangements including air ticketing, hotel/accommodation, transportation and related logistics. • Manage official vehicles, drivers, transportation and other logistical requirements. • Process and coordinate procurement of administrative goods and services in accordance with applicable PPRA rules, Government procedures and Authority policies. • Manage administrative contracts, vendors and service providers and monitor their performance and deliverables. • Scrutinize administrative invoices, bills and supporting documents and coordinate their processing for payment. • Prepare and process official summaries, notes for approval, letters, office orders, memoranda and other administrative correspondence. • Manage official files and correspondence through e-Office, ensuring proper processing, tracking, record management and timely disposal of cases. • Ensure compliance with applicable Government rules, regulations, policies, financial procedures and service regulations. • Coordinate with Internal/External Audit, legal advisors and relevant departments on audit observations, legal matters, compliance issues and preparation of replies/cases. • Oversee office facilities, maintenance, utilities, housekeeping, security and other essential support services. • Manage administrative assets, equipment, furniture and inventory, including maintenance and physical verification. • Coordinate with Finance and other departments for timely resolution of administrative and operational matters. Liaise with Ministries/Divisions, Government departments, public bodies, vendors and other stakeholders on administrative matters. • Identify administrative gaps, recommend process improvements and support development/review of administrative policies and procedures. • Undertake special assignments and any other duties entrusted by the competent authority from time to time Qualifications & Experience Education: Bachelor’s degree in Public Administration, Business Administration, Management, Operations Management, or a related field from an HEC-recognized institution. Experience: • 6+ years of progressively responsible experience in administration, operations, facilities management, or workplace support services. • Experience in the public sector and familiarity with government procurement/PPRA requirements and HSE practices will be preferred.
