Job Summary
The Admin Officer is responsible for supporting day-to-day administrative, facility, asset, and workplace operations to ensure smooth and efficient organizational functioning. The role will coordinate facility services, asset and inventory management, vendors, office logistics, records, and administrative activities while ensuring compliance with PDA’s internal policies, applicable procurement requirements, and HSE guidelines.
Key Responsibilities
• Assist in day-to-day administrative and operational activities of the Authority.
• Process and maintain official files, correspondence and cases through e-Office.
• Assist in preparation of summaries, notes for approval, letters, office orders, memoranda and other official correspondence.
• Assist in procurement processes, including preparation of documents, quotations, comparative statements and related records in accordance with applicable procedures.
• Maintain procurement, contract, vendor, inventory and administrative records.
• Assist in processing and verification of administrative bills, invoices and supporting documents.
• Coordinate routine transportation, official travel, air ticketing, hotel/accommodation and other logistical arrangements.
• Assist in management of official vehicles, drivers, office facilities, maintenance and other support services.
• Coordinate with vendors/service providers regarding routine administrative requirements and follow-up of deliverables.
• Assist in responding to audit observations and compiling relevant records/documents for audit and compliance matters.
• Assist the Admin Lead in ensuring compliance with Government rules, PPRA procedures, financial procedures and Authority policies.
• Maintain proper filing, record management and tracking of administrative cases and correspondence. Coordinate with Finance and other departments for timely disposal of administrative matters.
• Perform any other administrative or operational task assigned by the Admin Lead/competent authority.
Qualifications & Experience
Education:
Bachelor’s degree in Public Administration, Business Administration, Management, or a related discipline from an HEC-recognized institution.
Experience:
• Minimum 1-3 years of relevant experience in administration, facilities management, office operations, or related support functions.
• Experience in asset and inventory management, vendor coordination, and administrative record management will be preferred.
• Experience in the public sector and familiarity with PPRA requirements and HSE practices will be an advantage.
